Privacy policy
In brief
- We process only what we need for quotes, sessions, invoicing and keeping ocularniva.click secure.
- No newsletters, no advertising cookies and we do not sell personal data.
- Working sessions are kept up to 9 months after the last session, then deleted.

1. Who we are
Ocularniva B.V. (Ocularniva) is the controller for personal data collected on ocularniva.click and in direct contact with you: messages via contact, quotes, bookings, recordings at Kinkerstraat 127 in Amsterdam and follow-up such as mix or mastering.
We are a private limited company (B.V.) registered at Kinkerstraat 127, 1053 EJ Amsterdam. Trade register 95735474, VAT NL816034795B01. Managing director: Maarten de Vries. Privacy contact: [email protected] or 020 737 2841.
We have not appointed a data protection officer; it is not required for our size. Company details: legal notice.
2. Scope
This policy covers website visitors, enquirers and clients who book services such as Vocal and solo instrument recording, Duo and ensemble recording, Podcast recording or remote Mixing (remote) and Mastering.
When a company brings guests or artists to a session, that company usually decides how recordings are used. We then act as processor under our data processing agreement; those individuals should rely on the client’s privacy information first.
Commercial terms are in our terms and conditions; this document covers data processing only.
3. Data we process
Contact form: name, email, optional phone, chosen service, optional preferred date and your project message. Required fields are needed so we can reply within about 2 business days.
Booking and delivery: billing details, artist or band name, email or phone exchanges, payment references. A 25% deposit applies when you reserve a slot, as set out in our terms.
Recordings and project files: voice, instruments and conversation can be personal data when you are identifiable. We use them only to deliver what you ordered, including agreed revision rounds.
Technical data: our host TransIP B.V. processes server logs (IP address, time, page requested, browser) for security. Your cookie choice is stored locally; see cookie policy.
We do not ask for special-category data. Sessions for people under 16 must be booked by a parent or guardian.

We do not sell or rent data. We do not send marketing email. Where we rely on legitimate interest, you may object as described below.
5. Voice, image, minors and AI
Voice and likeness from sessions can identify you. Ocularniva does not share clips, behind-the-scenes photos or client names on ocularniva.click or social channels unless you have agreed in writing beforehand.
Session audio is never fed into machine-learning pipelines for model training, benchmarking or synthetic voice creation. Any exception would need a separate, signed agreement with the performer.
Bookings for people younger than 16 require a parent or guardian. Practical studio topics are covered in our FAQ.
6. Recipients
Only staff who deliver your booking can access data. Recipients may include:
- TransIP B.V., hosting ocularniva.click in the Netherlands;
- FormSubmit (formsubmit.co), forwarding the contact form to our inbox — see transfers;
- our accounting firm, under confidentiality duties, for invoice-related fields;
- our bank, for payments;
- authorities when the law requires it.
Processors sign Article 28 GDPR terms with us. Business clients who supply third-party data are covered by the data processing agreement.
7. Transfers outside the EEA
Hosting and mail run through parties in the Netherlands or the EU. FormSubmit is operated from the United States: form content may be processed there briefly before we receive it. Where no adequacy decision applies, we rely on your request to contact us (pre-contract steps) and, where needed, standard contractual clauses.

8. Security
We apply appropriate measures: HTTPS on the site, restricted system access with strong passwords, locked premises outside opening hours (Tue–Sat 09–21) and deletion of working files after the 9-month archive window.
If a breach risks your rights, we notify the supervisory authority when required and inform you when the law demands it. No online transfer is completely risk-free; once data reaches us, we protect it within our means.
9. Your rights
You may request access, rectification, erasure, restriction, portability and object to processing based on legitimate interest. You may withdraw consent where processing relies on it, without affecting earlier lawful processing.
Send requests to [email protected] or by post to Kinkerstraat 127, 1053 EJ Amsterdam. We respond within one month; complex cases may be extended by two months with explanation. We may verify identity when in doubt.
You may lodge a complaint with the Autoriteit Persoonsgegevens via autoriteitpersoonsgevens.nl. We prefer to resolve issues with you first.
10. Cookies and similar storage
The site does not use analytics, advertising or social media cookies. Only your choice is stored in the browser under oclr_consent_v1 for 182 days. Our banner offers equally prominent accept, reject and customise options.

11. Links to other sites
The site links to OpenStreetMap for directions (Trams 13 and 16 run along the Kinkerstraat; get off at Bilderdijkstraat and walk about five minutes to number 127. From Amsterdam Centraal it is roughly 25 minutes on tram 13 towards Geuzenveld. You can park bikes in front of the building; on-street car parking in Oud-West is paid.). External sites have their own policies; we are not responsible for their practices.
