Terms and conditions
In brief
- A booking is firm after written confirmation and payment of a 25% deposit.
- Free reschedule or cancel up to 4 days before the session; closer dates may incur 50% of the quoted fee.
- Mixing includes 2 revision rounds; mastering includes one, as described on the service pages.
- Consumers buying at a distance may have a withdrawal right; exceptions are listed in article 8.
1. Scope and identity
These terms apply to all services provided by Ocularniva B.V. (Ocularniva), Kinkerstraat 127, 1053 EJ Amsterdam, KvK 95735474, VAT NL816034795B01. They cover studio recording, remote mix/master and related work described on services and individual service pages.
Specific terms in a quote or order confirmation override these conditions where they differ. Only Ocularniva B.V. may agree deviations in writing. Accepting a quote or paying a deposit means you agree to these terms and our privacy policy.
2. Definitions

3. Quotes, confirmation and contract
Requests via contact, phone or email lead to a quote or estimate. A slot is reserved only after you accept the quote in writing (email is enough) and pay the deposit. Until then, times may be offered to others.
We confirm by email with date, duration, location, engineer and price. Check details promptly and report errors within 2 business days; otherwise the confirmation is deemed correct.
4. Prices and VAT
Site rates are guide prices in euros including 21% VAT unless stated otherwise. Examples: €325 for a Vocal and solo instrument recording block, €795 for an ensemble day, €275 per mix, €72 per master. The quote sets the final amount; net figures for business clients appear as €72.73 where relevant.
Extra time, extra revisions or rush work outside the quote is confirmed in writing beforehand. Obvious pricing errors are not binding; we will issue a corrected quote.
5. Deposit, payment and set-off
When booking, you pay 25% of the quoted total as a deposit. The balance is due before the session starts (studio) or before delivery of final files (remote), unless agreed otherwise in writing.
Consumers usually pay by bank transfer or card in the studio. Business clients receive an invoice with 21-day payment terms unless the quote says otherwise. Late payment may attract statutory commercial interest and reasonable collection costs where permitted.
Until full payment we may withhold final masters or exports; working files follow the archive rules in article 10.
6. Reschedule, cancellation and no-show

Send requests in writing to [email protected] and confirm phone cancellations by email. Mandatory consumer rights remain unaffected.
7. Force majeure and cancellation by Ocularniva
If equipment failure, essential staff illness or other events beyond our reasonable control prevent a session, we may reschedule. We offer an alternative time; if none works, we refund amounts paid for undelivered services within 14 days.
We do not replace the booked engineer without discussion unless an equally qualified colleague takes over.
8. Consumer withdrawal (distance contracts)
If you are a consumer and contract at a distance (email, phone, form), you generally have 14 days to withdraw after contracting, under EU/ Dutch distance-selling rules.
If you explicitly ask us to start before that period ends, you pay a proportionate amount for work already performed if you withdraw. Once a service is fully performed with your prior consent, withdrawal may no longer apply where the law allows. Custom audio that cannot be resold is usually excluded once production has started.
Notify withdrawal clearly via [email protected] with name, quote date and service. Refunds within 14 days using the same payment method unless agreed otherwise.
9. Running sessions and house rules
Hours: Tuesday to Saturday 09:00–21:00, closed Monday and Sunday. Sessions by appointment only.. Up to 5 musicians may record together in the live room; podcast setups seat 3 guests. Minimum age to book independently: 16; younger participants need written parental consent and a present adult.
Follow engineer instructions on safety, levels and gear use. No smoking or vaping indoors. Damage caused by intent or gross negligence may be charged to you. Your own instruments and laptops remain your responsibility.

10. Files, delivery, timelines and archive
Unless agreed otherwise, we deliver recordings and mixes as 24-bit WAV via download link or your media. Remote mix/master starts after complete stems arrive; target delivery within 10 business days after complete delivery unless the quote differs.
We keep session files for 9 months after the last project activity, then delete them from active storage. Download and backup are your responsibility. Extended storage may be agreed in writing for a fee.
11. Revision rounds and acceptance
Mixing includes 2 revision rounds as on mixing online; mastering includes one round on mastering. A round is one bundled list of notes processed in one pass. Extra rounds or a new artistic direction after approval require a new quote.
If you do not respond within 14 days after delivery, the version is deemed accepted unless you flag open technical issues with reasons.
12. Intellectual property and your warranties
You retain ownership of compositions, lyrics and performances you supply. You warrant you may record, mix and release what you bring, including samples and covers; see music rights for podcasts. Ocularniva does not claim copyright in your music.
Phonogram rights on recordings you finance follow applicable law unless agreed otherwise in writing. We do not commercially reuse your raw audio without written permission and do not train AI models on your recordings without separate written consent.
13. Liability
We provide services with the care of a professional studio; artistic performance remains your responsibility. Our liability is limited to direct damage caused by an attributable failure, except where mandatory law provides otherwise (including personal injury).
For business clients, total liability per order is capped at the invoice amount for that order, except in cases of intent or wilful recklessness. Prevent data loss by downloading promptly; see article 10. Site information limits are in the disclaimer.
14. Personal data
Processing is described in the privacy policy. Business clients supplying data about guests or musicians may need the data processing agreement. The contact form uses FormSubmit (US); see legal notice.
15. Complaints, disputes and governing law
Send complaints promptly to [email protected] with facts; we respond within 2 business days with a proposal. Consumers may bring disputes before competent courts in the district where Ocularniva is established or, where consumer law allows, at their home address.
The EU ODR platform exists for consumers; we do not automatically join other ADR schemes unless required. Dutch law applies to these terms.
16. Changes
We may amend these terms. Ongoing orders keep the version accepted at booking unless change is legally required or benefits you. Published: 7 October 2026; effective: 7 October 2026. Questions: contact or 020 737 2841.
